How to Auto-Generate a Table of Contents in Word — Heading Styles in One Step

Ever spent time manually typing out a report's table of contents, only to have the page numbers fall out of sync the moment you add a paragraph? Word has a built-in automatic Table of Contents feature that eliminates that problem entirely. The entire system rests on one concept: Heading styles.

Why Heading Styles Are the Key

Word's automatic TOC works by scanning your document for paragraphs that have a Heading 1, Heading 2, or Heading 3 style applied, then listing them as TOC entries with their page numbers. Text that is merely bold or enlarged — but not styled — is invisible to the TOC engine.

This means you must apply Heading styles before inserting the TOC. Here is how:

  1. Click inside (or select) the chapter or section title you want in the TOC.
  2. On the Home tab, find the Styles gallery and click Heading 1 for top-level titles, Heading 2 for sub-sections, or Heading 3 for sub-sub-sections.
  3. Repeat for every title in the document.

If the Styles gallery is not visible, click the small arrow at the bottom-right of the Styles group to open the Styles pane. You can modify the font and color of any Heading style later — the TOC link will still work.

Inserting the Automatic TOC — 3 Steps

  1. Place your cursor where you want the TOC. This is usually on a blank line after the title page, or beneath a "Contents" heading you have typed manually.
  2. Go to the References tab and click the Table of Contents button. From the dropdown, choose Automatic Table 1 or Automatic Table 2. Word reads every Heading-styled paragraph and inserts it as a TOC entry with the correct page number.
  3. Done. Each entry is a hyperlink — hold Ctrl and click any entry to jump directly to that section.

To control how many heading levels appear in the TOC, choose Custom Table of Contents from the same menu and adjust the Show levels setting.

Updating the TOC

When content changes shift page numbers, or when you add new headings, you do not need to rebuild the TOC from scratch — just update it.

  • Option 1 — Click inside the TOC area. A toolbar appears at the top; click Update Table.
  • Option 2 — Right-click anywhere in the TOC and choose Update Field.
  • Option 3 — Click the TOC, then press F9.

A small dialog asks which kind of update to perform:

When in doubt, choose Update entire table — it is always safe.

Exporting to PDF — Bookmarks Preserved

When you save a Word document as PDF, the TOC hyperlinks and bookmarks carry over into the PDF file. Two ways to do it:

  • Word's built-in export — File → Save As → choose PDF as the format. Before saving, click Options and confirm Create bookmarks using: Headings is checked.
  • Online conversion — If fonts or layout break during export, use FreeSign Word → PDF. The original layout and TOC links are preserved, and no installation is required.

In the resulting PDF, viewers such as Adobe Acrobat Reader will display the bookmarks panel on the left, letting readers navigate by heading just as they would with the TOC.

Frequently Asked Questions

Q. I applied Heading styles but they do not appear in the TOC.
After inserting the TOC, run Update Table → Update entire table once more. If headings are still missing, go to References → Table of Contents → Custom Table of Contents → Options and verify the Heading styles are mapped to TOC levels 1–3.

Q. Can I edit the TOC text directly?
The TOC is a field — any text you type directly into it will be overwritten the next time you update. To change what appears in the TOC, edit the Heading-styled paragraph in the body of the document, then update the TOC.

Q. Can I change the TOC font or indentation?
Yes. Go to References → Table of Contents → Custom Table of Contents → Modify. There you can edit the TOC 1, TOC 2, and TOC 3 styles individually. Your changes survive future updates.

Q. Do TOC links survive export to PDF?
Yes. When you use Word's built-in PDF export (with "Create bookmarks" enabled) or FreeSign Word → PDF conversion, all TOC hyperlinks and document bookmarks are preserved in the output PDF and remain clickable.
